One of the most important things that we do at ChemRite CoPac is assuring product quality. Maintaining a consistent standard of quality requires the ability to record, process and organize enormous amounts of information. The bulk of the quality documentation necessary for an individual project is created during the new project set up time frame. Of course, project and quality specifications may change many times during the life span of a product. Since this is the case, what are ChemRite’s procedures for the ongoing revisions to bills of material and quality documentation?

Project revisions start with our customer. Most customers issue quality change notification documentation for any project revision and forward that documentation to ChemRite. ChemRite’s Document Control Specialist then reviews the modifications made within the change notification. The type of change being applied to the project can customarily be categorized as either an immediate change or a running change. An immediate change causes an abrupt adjustment to a raw material or packaging component, while a running change infers a delayed modification to the project, perhaps to run out existing inventory of materials. Both types of revisions are recorded within ChemRite’s operating system, Chempax VB, as soon as the customer’s change notification documentation has been received.

Chempax VB plays an instrumental role in processing and tracking quality and bill of material revisions. Document Control uses Chempax VB to create ChemRite part numbers for any new or revised materials. These part numbers are then placed into the appropriate project’s bill of material. Document Control creates detailed notes regarding the revisions which have been made or are scheduled for each sku’s bill of material. Chempax VB stores all of this information in an electronic revision log, allowing all ChemRite personnel who have access to the program visibility of the latest revisions to each project bill of material. When changes have been made to a bill of material or the revision log, Document Control sends out an electronic change notification to key ChemRite personnel. The notification includes a copy of the revised bill of material and back up quality documentation.

Naturally, more than electronic revisions are necessary when a project change occurs. Document Control also revises the hard copies of ChemRite’s quality documentation and batch information which corresponds to the change. All production information, such as the project set up folder and customer blue book, is updated. Hard copies of any quality documentation which are deemed to be obsolete are destroyed. Physical raw material or packaging components which are obsolete are placed in quarantine for return to the customer or proper disposal.
