A vital function in any business is the ability to accurately and efficiently process orders. While this may seem to be a basic task, each company must create an effective procedure for their specific work environment. Have you ever wondered, what happens after you place an order with ChemRite CoPac? What is ChemRite’s process for order fulfillment?

From the moment an order is received at ChemRite, our team diligently follows a consistent work flow process and chain of communication to ensure proper order fulfillment. The process begins with ChemRite’s Office Specialist, who reviews the order and enters it into our main operating software, ChemPax VB. An “Order Acknowledgement” is sent to the customer within 24-hours of the order being placed. An electronic notice of the order acknowledgement is also sent to key team members at ChemRite, making them aware that a new order has been placed. A “Work Order” is also created and passed on internally to our Production Specialist. The Production Specialist evaluates the work order and makes an initial assessment of the optimal time slot for production. Factors such as the availability of the production and blending equipment needed for the project, water demand the order will require, quality assurance needs and the time frame for completion are all taken into consideration at this time.

Once the production has been temporarily scheduled, the Production Specialist communicates with the Purchasing department to begin procurement of the materials needed for production.

Purchasing uses an MRP-based planning environment to determine which materials need to be ordered to complete the production requirements. Purchase orders are placed for needed material. It is ChemRite’s policy to plan for 10% over the original order amount to account for scrap factors and ensure that full order quantities are met upon production completion. Purchasing diligently works with material vendors to confirm material arrival dates. Once these dates have been verified, Purchasing communicates back to the Production Specialist when the materials will be arriving for production. A firm production date for the order is then set and scheduled within ChemRite’s Production Calendar. A “Production Date Confirmation” is sent to the customer at this time. ChemRite’s team makes every effort to send production date confirmations to the customer within 48 hours of the original order being placed.

Several factors may cause the production date for the order to change. Perhaps ChemRite is notified by a vendor that the arrival date for one of the materials needed for production has been revised. Or it could be that the customer who originally placed the order needs to change the ship date in order to meet current demand. Whatever the reason for change may be, ChemRite strives to accommodate the ongoing needs for the order and communicate revisions to all involved. Many weeks, ChemRite’s team carefully orchestrates daily production revisions to meet the changing needs of our customers and ensure plant efficiency. ChemRite’s effective planning, production flexibility and a strong communication flow has proven to be a successful combination in achieving consistent order fulfillment.
